Position Overview

The Alumni Relations Specialist will support LUMS alumni relations function through a strong focus on alumni data management, digital platforms and alumni engagement. The role will be responsible for maintaining the accuracy and integrity of the alumni database, developing and improving the alumni portal, and supporting targeted initiatives that strengthen alumni engagement and participation.

Key Responsibilities

1. Alumni Data Management 

  • Manage and maintain the University's central alumni database, ensuring data is accurate, complete, current and appropriately structured.
  • Develop and implement processes for regular data cleaning, validation, deduplication and enrichment of alumni records.
  • Maintain comprehensive alumni profiles, including education, graduation details, employment, location, contact information, professional affiliations and engagement history.
  • Develop systems and processes for alumni data collection and updating through forms, campaigns, events, the alumni portal and other channels.
  • Conduct regular data audits and identify gaps, inconsistencies and outdated information.
  • Manage the integration and synchronisation of alumni data across relevant University systems and platforms.
  • Develop and maintain data standards, taxonomies, naming conventions and data governance protocols for alumni records.
  • Produce regular reports, dashboards and analyses on alumni demographics, engagement, participation and data quality.
  • Segment alumni data to support targeted communications, events, fundraising, networking and other Advancement initiatives.
  • Support the development of data-driven alumni engagement strategies by identifying trends, patterns and opportunities within the alumni database.
  • Track alumni interactions and engagement history to develop a comprehensive view of alumni relationships with LUMS.
  • Work closely with relevant University departments to reconcile and validate alumni information.
  • Ensure alumni data is managed in accordance with University policies and applicable data protection and privacy requirements.

2. Alumni Portal Management 

  • Support the ongoing development, enhancement and management of the LUMS Alumni Portal.
  • Work with internal stakeholders and external technology partners to identify platform requirements and translate alumni needs into digital features.
  • Coordinate the development and implementation of features such as alumni profile management, directory and networking, events and registrations, alumni communications, career and mentorship opportunities, chapters and alumni communities, giving and volunteering, and news and updates.
  • Gather and analyse user feedback to identify opportunities for improving the alumni digital experience.
  • Develop user journeys, functional requirements and feature specifications for new portal functionality.
  • Coordinate with developers, vendors and internal IT teams to ensure timely delivery and testing of enhancements.
  • Monitor platform performance, adoption and usage and recommend improvements based on user behaviour and analytics.
  • Ensure alumni data captured through the portal is accurately integrated with the University's alumni database.
  • Support content updates, quality assurance, user testing and ongoing optimisation of the platforms.

3. Alumni Engagement 

  • Support the planning and execution of alumni engagement initiatives, including alumni meetings, events, networking opportunities, reunions, chapters, professional communities and volunteer programmes.
  • Assist in developing targeted engagement activities based on alumni interests, demographics and engagement history.
  • Support alumni communications and campaigns designed to increase participation and strengthen alumni relationships with LUMS.
  • Coordinate with schools, departments and other stakeholders to identify opportunities for alumni involvement.
  • Support alumni events from planning through execution, including invitations, registrations, attendance tracking and post-event engagement.
  • Maintain accurate records of alumni participation and engagement across different activities and channels.
  • Identify highly engaged alumni and potential alumni ambassadors, volunteers, mentors and community leaders.
  • Contribute to initiatives that strengthen the sense of community and lifelong connection between alumni and LUMS.
Knowledge & Skills
  • Strong proficiency in Microsoft Excel, including data cleaning, analysis, lookup functions, pivot tables and reporting.
  • Experience working with databases, CRM systems or large datasets.
  • Familiarity with data visualisation and reporting tools such as Power BI will be an advantage.
  • Experience working with websites, portals or digital products is highly desirable.
  • Strong understanding of data quality, database structures and data governance.

Qualifications
  • Bachelor's degree in Business, Marketing, Computer Science, Information Systems, Data Analytics, Management or a related discipline. A Master's degree will be an advantage.
Experience
  • At least 3 years of relevant professional experience, preferably in data management, CRM, digital platforms, alumni relations, customer relationship management or a related field.
