Position Overview

The HR Associate is responsible for ensuring accurate and compliant execution of core HR operations, including payroll coordination, HRIS transactions, and contract lifecycle management. The role safeguards data integrity, ensures timely processing of employee lifecycle actions, and supports operational efficiency through effective coordination with Finance, Payroll, IT, and departmental stakeholders.

Note: This is a 6-month contractual position leading to a permanent role (based on performance).

Key Responsibilities

Departmental Coordination & Approvals Management

  • Liaise with departments to secure timely approvals for HR actions (contracts, extensions, hiring actions, etc.).
  • Monitor approval workflows and proactively resolve bottlenecks.
  • Ensure compliance with institutional and audit requirements.

HRIS (SAP) Transactions & Data Integrity

  • Execute SAP HR actions (new hires, extensions, rehires, changes) accurately and within defined timelines.
  • Ensure system records are updated without errors, including uploader-based extensions.
  • Perform periodic audits to maintain data accuracy and integrity within SAP.

Contract Lifecycle Management (RA/TA & Similar Roles)

  • Manage end-to-end contract processes, including drafting, approvals, issuance, and verification.
  • Ensure all contracts have required HR Director and budget approvals before release.
  • Verify signed contracts for accuracy of terms, signatures, and dates before record finalisation. 
     
  • Assist in payroll processing by coordinating contract expiry reports, communicating payroll timelines, and supporting the resolution of payroll-related discrepancies to ensure timely and accurate salary processing.

Vendor & Banking Coordination 

  • Coordinate vendor code creation, IBAN generation, and bank account updates with Finance and Payroll.
  • Track and resolve vendor and payment-related issues.
  • Maintain reconciliation logs for audit and tracking purposes.

Systems Access & Credential Management

  • Coordinate with IT/IST for issuance of system login credentials.
  • Maintain secure credential tracking databases.
  • Ensure credentials are shared securely and in a timely manner after verification.

Technical Knowledge

  • Strong understanding of HR operations and employee lifecycle processes
  • Knowledge of payroll administration practices
  • Experience working with HRIS systems (preferably SAP HR modules)

  • Basic understanding of finance/payroll workflow.

Qualifications
  • 4 years Bachelor’s or Master’s degree in Human Resources, Business Administration, or related field from an HEC-recognized institute.
Experience
  • Minimum 06 months to 01 year of relevant work experience in HR Operations, Administration, or HRIS administration, preferably within a structured organisational environment.

This is a contractual position, with the contract subject to extension based on performance and the department's requirements.
