Position Overview

The Alumni Relations Associate is responsible for maintaining accurate alumni records, generating actionable insights, and supporting alumni engagement, communications, fundraising, and strategic decision-making through data-driven practices. The role combines CRM/database management, reporting, analytics, data hygiene, and operational support for the Alumni Relations and Advancement Office.

This position plays a critical role in improving alumni data quality, tracking engagement, measuring campaign performance, and enhancing institutional outreach effectiveness.

Key Responsibilities

Alumni Data Management

  • Maintain and update alumni records within the CRM/database system.
  • Ensure data accuracy, consistency, completeness, and integrity across alumni datasets.
  • Conduct regular data cleaning, validation, deduplication, and enrichment exercises.
  • Manage alumni demographic, academic, employment, and contact information.
  • Track and monitor alumni engagement activities, including events, volunteering, mentoring, communications, and donations.
  • Support alumni data collection initiatives through surveys, forms, campaigns, and outreach.

Analytics & Reporting

  • Generate regular reports on the status and health of the alumni database.
  • Provide insights on alumni demographics, employment trends, and location data to support strategic initiatives.
  • Segment alumni based on demographics, employment trends and industrial sector for strategic support.
  • Develop dashboards, reports, and data summaries for alumni engagement and advancement leadership. 
  • Analyze alumni engagement trends, response rates, participation metrics, and communication effectiveness. 
  • Generate segmentation lists for email campaigns, events, fundraising, and outreach initiatives. 
  • Support data-informed decision-making through actionable insights and recommendations.

Data Verification and Collection:

  • Verify and update alumni information, such as contact details, employment (company, job title, department, industry, designation), current location (city, country), and LinkedIn profiles.
  • Contact alumni through various channels available (email, SMS, Whatsapp, Linkedin, classfellows etc.) to gather missing information
  • Collect updated information from LinkedIn and direct communication with alumni.
  • Collaborate with other departments to obtain missing data.

Campaign & Engagement Support

  • Prepare targeted alumni lists for campaigns and communications.
  • Monitor campaign performance and prepare post-campaign analytics reports.
  • Support alumni surveys, engagement assessments, and benchmarking initiatives.
  • Assist with alumni networking, mentorship, career, and fundraising initiatives through data support.

Process Improvement:

  • Recommend and implement improvements in data collection and management processes.
  • Stay updated on best practices in data management and alumni relations.
  • Collaborate with other departments to assist with their campaigns and outreach as needed.
  • Identify improvements in the current alumni portal – Connect and increase its usage by alumni.

Qualifications
  • Bachelor’s(hons) degree in Data Science, Business Analytics, Information Systems, Computer Science, Statistics, Marketing or related field.
  • Preference for candidates with a data management or analytics background.
  • Relevant certifications will be an added advantage.
Experience
  • 1–2 years of relevant professional experience.
  • Fresh graduates with strong analytical and technical skills may also be considered.
