Position Overview

The Strength & Fitness Instructor (Specialist) is responsible for independently managing and delivering a safe, inclusive, and high-quality fitness environment. The role ensures professional supervision, evidence-based training practices, structured fitness programming, and user guidance to promote health, well-being, and injury prevention across the university community.

Key Responsibilities

Fitness Services Delivery & User Experience

  • Deliver high-quality gym and fitness services to enhance user satisfaction, safety, and physical well-being.
  • Design and provide individualised training guidance aligned with user goals, fitness levels, and physical limitations.
  • Provide basic nutritional guidance within a defined scope to support training outcomes, recovery, and well-being.
  • Ensure full compliance with institutional policies, including Health & Safety Regulations and Code of Conduct.
  • Maintain a safe, clean, and professionally managed fitness environment at all times.

Personal Training, Fitness & Nutrition Guidance

  • Provide one-on-one guidance and basic personal training support to individual gym users.
  • Offer body composition advice, general fitness assessment guidance, and recommendations related to strength, endurance, flexibility, and general conditioning.
  • Provide general nutritional guidelines on a need basis, including advice on hydration, meal timing, balanced diet principles, and recovery nutrition, strictly within professional limits and without prescribing medical diets.
  • Refer users to qualified medical or nutrition professionals when specialised or clinical dietary advice is required.
  • Guide users on safe training progression, recovery, and injury prevention.
  • Plan and conduct group fitness sessions for the open community at least twice per semester, ensuring inclusive participation and safety.
  • Plan and conduct circuit training, aerobics, functional training, and other approved fitness classes.

User Instruction & Supervision

  • Conduct high-quality gym inductions, including equipment orientation, safety briefing, and gym rules.
  • Maintain a visible and proactive instructor presence on the gym floor.
  • Ensure users receive continuous guidance on correct exercise techniques, posture, breathing, and appropriate load selection.
  • Intervene immediately in case of unsafe practices or misuse of equipment.

Safety & Emergency Response

  • Ensure all users wear appropriate sports attire and footwear.
  • Monitor gym occupancy, particularly in free-weight and dumbbell areas, to prevent overcrowding.
  • Ensure correct use of safety locks, collars, pins, and emergency stop mechanisms.
  • Immediately stop any activity posing a risk to user safety or health.
  • Remain vigilant for signs of overexertion, dehydration, injury, or medical distress.
  • Provide immediate first response in case of injury or emergency and report the incident to the Sports Supervisor without delay.

Equipment & Facility Management

  • Maintain and update the inventory register of gym and fitness equipment.
  • Conduct routine inspections of machines and accessories and report any loss, damage, malfunction, or theft to the Sports Supervisor.
  • Coordinate with authorised equipment mechanics for timely repairs and preventive maintenance.
  • Ensure the gym facility is opened and closed in accordance with approved procedures.
  • Ensure the gym remains clean, organised, and hazard-free, with equipment returned to designated locations.
  • Oversee routine cleaning and sanitisation of exercise equipment.
  • Conduct regular safety inspections of the premises.

Administration & Reporting

  • Maintain accurate gym records, including safety inspection logs and maintenance records.
  • Submit monthly operational reports to the HoD in the prescribed format.
  • Submit a comprehensive semester/course-end report, including: individual guidance and group fitness sessions conducted, attendance records, outcomes and observations, and photographic documentation of activities (where permitted by policy).
  • Complete and submit all incident, accident, or emergency reports.

Compliance & Discipline

  • Enforce adherence to gym rules and institutional policies.
  • Manage non-compliance professionally and escalate where required.
  • Uphold institutional values, Code of Conduct, and confidentiality standards.

Team Contribution & Continuous Improvement

  • Attend training sessions, safety briefings, and meetings as required by HoD SWR.
  • Cooperate with other staff members to support overall facility operations.
  • Perform any other related duties within the scope and purpose of the role.
Knowledge & Skills
  • Strong foundation in exercise science and fitness training.
  • Ability to design and deliver safe and effective individual and group training programs.
  • Knowledge of equipment usage, safety protocols, and basic nutrition principles.
  • Effective communication with a strong focus on user engagement and safety.

Qualifications
  • At least a Bachelor’s Degree or equivalent (HEC recognised).

Certifications:

  • Certified Fitness Instructor/Personal Trainer (ACSM, ACE, NASM or equivalent).
  •  First Aid & CPR certification (or willingness to obtain).
Experience
  • At least 03 years of relevant experience in fitness training/gym instruction.
