Position Overview

The position is responsible for supporting the efficient, transparent, and compliant procurement of goods and services at Lahore University of Management Sciences. The role manages procurement activities, including sourcing, vendor coordination, purchase order processing, and procurement documentation while ensuring adherence to institutional policies, internal controls, and operational requirements. The role also supports supplier relationship management, cost optimisation initiatives, and process improvements to enhance procurement efficiency and service delivery across the University.

Key Responsibilities
  • Manage procurement activities from receipt of requisitions to purchase order issuance and vendor coordination.
  • Ensure procurement processes comply with institutional policies, delegated authorities, and internal control requirements.
  • Source and evaluate suppliers based on quality, cost, reliability, service standards, and delivery timelines.
  • Obtain quotations, conduct comparative evaluations, and support vendor selection processes.
  • Coordinate with user departments to understand procurement requirements and ensure timely fulfilment of requests.
  • Build and maintain effective working relationships with vendors and service providers.
  • Support contract administration and maintain accurate procurement records and documentation. Coordinate with Finance and vendors regarding invoice processing and payment follow-up.
  • Monitor supplier performance and support vendor evaluation and improvement initiatives.
  • Identify opportunities for cost optimisation and process efficiency while maintaining quality and service standards.
  • Maintain procurement reports, records, and trackers for audit and compliance purposes.
  • Support inventory and operational teams, where required, to ensure continuity of supplies and services.
  • Assist in updating procurement SOPs, templates, and process documentation.
  • Support internal and external audit activities related to procurement operations.
Knowledge & Skills
  • Familiarity with ERP/procurement systems and MS Office applications, particularly Excel.
  • Strong communication, stakeholder management, and interpersonal skills.
  • Good organisational and time management abilities with attention to detail.
  • Problem-solving and decision-making skills in a service-oriented environment.
  • Understanding of procurement ethics, confidentiality, and internal control requirements.
  • Sound understanding of procurement processes, sourcing, vendor management, procurement compliance, contract administration, and cost analysis.

Qualifications
  • Bachelor’s (Hons) degree in Supply Chain Management, Business Administration, or a related discipline from a HEC-recognised institution. 
Experience
  • At least 03 years of relevant experience in procurement, purchasing, or supply chain operations.
  • Experience working with ERP/procurement systems and within a university or large institutional environment will be preferred.
