Position Overview

The Operations Associate is responsible for supporting the day-to-day operational and logistical activities of the Centre for Continuing Education Studies (CES). The role ensures the smooth delivery of evening, weekend, and special programmes by coordinating administrative processes, class operations, instructor support, vendor management, and stakeholder communication.

Key Responsibilities
  • Support the day-to-day operational and administrative activities of CES.
  • Monitor on-campus and online CES classes during evenings and weekends, with flexibility in work schedules as required.
  • Maintain and update operational databases and programme records to ensure accurate and timely information.
  • Respond to participant enquiries via phone and email and coordinate with instructors to support the smooth delivery of CES programmes.
  • Coordinate with vendors, Procurement, IT, and other internal departments to support printing, events, inventory management, classroom requirements, Summer School, Winter School, and other operational needs.
  • Coordinate with the Finance Department to facilitate instructor and vendor payments, revenue reconciliation, refund processing, and the resolution of payment-related discrepancies.
  • Manage instructor contracts, including contract preparation, amendments, renewals, and related communications.
  • Coordinate with internal and external stakeholders to ensure the smooth execution of CES programmes and activities.
  • Assist in planning and coordinating CES events, workshops, and other Centre initiatives.
  • Perform any other duties assigned by the Line Manager or HOD in support of departmental objectives.

Qualifications
  • Bachelor's (Honours) degree in Business Administration, Operations Management, Management, or a related discipline from a renowned foreign or HEC-recognized university.
Experience
  • Up to 0-2 years of relevant experience in Operations, Programme Administration, Event coordination, Customer Service, or a similar administrative role
